Lesson 2.1: Focus and Prioritisation

Focus on what matters most: Important + urgent; Important, not urgent; Urgent, not important; Neither.

Most people don’t fail for lack of effort. They spread their effort across too many things, or spend it on what’s urgent instead of what’s important. Focus is the skill of putting your best energy on the few things that matter most.

Urgent versus important

Sort your tasks into four boxes:

  • Important and urgent: do these now (real deadlines, genuine emergencies).
  • Important, not urgent: schedule these. This is where progress on your main aim lives: learning, planning, relationships, health.
  • Urgent, not important: limit, batch or delegate (many messages, some meetings).
  • Neither: drop them where you can.

The second box is the one that gets squeezed out. Protecting time for it is one of the most useful habits you can build.

Choose your top three

Each week, write your top three outcomes that would move your main aim forward. Each day, pick the one task that matters most and do it early, before the day fills up.

Protect focused time

Deep, uninterrupted work produces far more than scattered effort. Try a 45 to 90-minute block with notifications off, one task only and a clear stopping point. Start with one block a few days a week and build from there.

The power of “no”

Every yes to something is a no to something else. A few ways to say no kindly:

  • “That sounds great, but I can’t give it the attention it deserves right now.”
  • “I can’t do that, but I could do this smaller part.”
  • “Let me check my priorities and get back to you.”

Try this: plan one week

List everything on your plate. Sort it into the four boxes. Choose your top three outcomes for the week, schedule at least two focused blocks for “important, not urgent” work and decide one thing you’ll say no to.
